Getting Started at the Institute

MGH Institute Photo ID Badge
As a faculty member you will be issued a photo ID badge. This section explains the process for getting it, as well as policies, procedures and who to contact with questions about your photo ID badge.

Corrective Action Plan (CAP) Training
This is a mandatory online training regarding protected health information (PHI). After September 15, 2011, you must complete the training and show evidence of the CAP Certificate of Completion before you can be issued your Photo ID Badge. [CAP training page in development.]

Email
This explains the importance of using your Institute email account to communicate with students, faculty and staff, and why you do not want to use personal email accounts for this purpose. If you have any questions about your email account, please contact the Institute Help Desk.

Laptop and Thumb Drive Encryption
Because of patient information confidentiality, the Institute has stringent guidelines on the use and need for encryption of laptop computers and thumb drives.

New Employee Onboarding Checklist (Word.doc)
This checklist is organized chronologically from pre-arrival of new employee through the first three months. When it is complete, the checklist should be signed by both the new employee and the supervising staff or faculty member.

New Faculty Orientation
This section has policies, procedures, links to Mass General Hospital orientation materials so that it's easily accessible when you have a question.

Your Web Profile (Word.doc)

All 0.5 to 1.0 FTE faculty members are included in the Institute's Web site directory for faculty and staff. Please complete the Web Profile Form and email it to Susan Reynolds, Web Editor at smreynolds@mghihp.edu. Either Susan or John Shaw, Manager of Marketing and Communications, will be in touch with you to take a photo to include on your faculty profile.

Your Listing in the Partners Telephone Directory
This is the directory that appears in Outlook when you follow Tools>Address Book. To update it (e.g. for new office location, new department, new title, etc.) email isppdedits@partners.org with the information that needs updating. Or you can update it yourself using your Partners ID and password. 

  • Start>Partners Applications>Utilities>Partners Telephone Directory (or follow the link above)
  • In the "Search for" box put your name – last name, first name, or click the link "Go to my entry (requires Partners network logon)."
  • You will get a logon dialog box. Enter your Partners ID and Password in the appropriate fields, then click Log On.
  • When the page with your information appears, click on your name, which takes you to
  • A page with an "Edit this entry" button. Click on this button
  • This takes you to a page that allows you to edit the various items in your directory entry.
  • Once you've edited it and want to save the changes, click on the "File" button

Parking
As a faculty member you are considered to be an employee of Mass General Hospital, and therefore are entitled to discounted parking (and free parking after hours and on weekends and holidays).

T-Pass Program
Institute employees are eligible for discounted monthly T and Commuter Rail Passes.  You sign up for these on PeopleSoft.

PartnersPulse: This is the Partners HealthCare Intranet site. It includes information on benefits, policies and procedures, Employee Services & Training. In the Benefits section is a link to Massachusetts General Hospital (Mass Gen) specific benefits. You can only access it from a Partners computer.

Faculty and staff at the MGH Institute are considered to be Mass General employees for payroll purposes.

Setting up an eBuy Account
All travel and expense reimbursement must be submitted through the Partner's eBuy system. See instructions on how to set this up in PeopleSoft in the Getting Things Done section of Faculty Compass.
